ACADEMIC COORDINATING COMMISSION MINUTES
Regular Meeting -- February 3, 2009
Chair Roger Thompson called the meeting of the 2008-2009 Academic Coordinating Commission to order at
4:06 pm on Tuesday, February 3, 2009. There were sixteen (16) members present, the Recorder (1) and two guests (2) for a total of nineteen (19).
Approval of ACC minutes. Members approved minutes of January 20, 2009 with revisions. Steve VanderStaay reported that an increase in Journalism credits was actually an increase requested by students. And even with this increase, students complete the major in a fairly expedient manner.
Report from the Chair: Chair Thompson announced that the February 17 discussion will focus on undergraduate education and the GURs. Thompson reported that a proposal may be forthcoming from two subcommittees, namely the GER committee and CATL (Assessment) committee. In the context of accreditation recommendations there has ongoing discussion among these committees for rethinking and perhaps combining committee structure.
Appointments and Elections
INTERIM VICE CHAIR APPOINTED: A motion was made by Jim Hearne, seconded by Roger Anderson to nominate Kristi Tyran as Vice Chair for Spring quarter to replace Hearne who is on sabbatical. There were no other nominations. The ACC passed the motion and Kristi Tyran was elected unanimously.
One vacancy remaining: 1 Faculty to ACC from Area A for Spring Quarter

The catalog coordinator accepted ACC’s request that the departments can still revise to shorten these descriptions, although today is the deadline for final catalog copy. In spring quarter the ACC will review the concern regarding length descriptions and propose a limit on word length for the Catalog. |

Category descriptions included as part of a selective multi-tiered entrance policy will be shortened to read: “Applicants to the sport psychology program are admitted based on specific qualifications that can be found at http://web address…..”
Acting within its appropriate role to attempt to enforce catalog consistency, the ACC pointed out that there is a whole plethora of processes related to entrance requirements to particular university programs, but these should appear on the local webpages of the department or the program, or on a handout. Students should be directed to the website when they ask. The catalog can then stress the occasions when a limited number of applicants are accepted, and can direct students to contact the department for current requirements.

Students who do not pass the language exam can extend graduate training by 5 credits, but the course has to be in linguistics, or a course determined by the English department, including Middle English. (applicable to Creative Writing)

DISCUSSION
Revisions to Course Numbering Guidelines
Commissioners are attempting to review various course numbering guidelines in order to correlate language in the Catalog and in the ACC Handbook. Thompson had checked a data base of 80 courses over four years that are identified as 417s for example, although the discussion applies to 117, 217, 317, 417 and 517. Sometimes a 17 number has been used for several years and actually should have x97 numbering. x97 numbering exists so last minute experimental courses can get into the Catalog without going through the ACC approval process. Apparently other 17s are courses that appear in the catalog for several years.
Commissioners emphasized that the intent of this review and the proposals that may come from it is not to make it harder to make timely decisions for one time offerings, but if something is going to be offered again and again, it should get the x17 number although the preference is to give it its own unique number.
Discussion centered on requiring ACC approval for various groups of numbers:
· 197, 297, 397, 497, 597 for one-time offerings -- ACC is considering that approval is not required.
· 17s were discussed, with an aim toward unifying policy or process surround their usage. The word SEMINAR is frequently used followed by colon in courses numbered 417 and 517. The specific title of an offering usually follows the “SEMINAR::” prefix, and that specific title may change from quarter to quarter along with content. On occasion several 417s or 517s might be offered simultaneously within a department in a single quarter, and are differentiated by the CRNs. The Registrar’s office may have additional difficulty in identifying these courses when it comes to CAPP encoding.
· Commissioners would like to know if the extended title of the particular course past the rubric “SEMINAR” could possibly also appear on the student’s transcript.
· Some 417s do not appear in the catalog at present. Summer courses may fall under this description. ACC is discussing what to do about this.
· ACC is suggesting that approval happen ONLY the first time that the paradigm offering is reviewed at ACC. But perhaps after many years of a generic description, it may necessary to revisit the SEMINAR description. ACC is considering a requirement that generic descriptions might have to be resubmitted to ACC for approval after several years have passed.
· ACC is considering the approval process in order to provide a modicum of consistency in the Banner catalog and the printed catalog as well as the ACC handbook of guidelines, and to ensure consisting with the encoding requirements of the Banner System and CAPP.
· Discussion will continue at the next meeting, and a motion may be formulated. Recommendations from faculty are welcomed.
